Privacy, confidentiality and how we use technology

Privacy Policy and Confidentiality

RMF Accounting and Tax Services ("RMF," "we," "us") respects your privacy and is committed to protecting the personal and financial information you share with us. This policy explains what we collect, how we use it, and how we keep it confidential.

Information we collect

We collect only what you choose to provide: your name, email, phone number and the answers you give through the forms on this site (the contact and booking forms, the Tax-Ready Scorecard, and the Automation Systems application), and any documents you send through our secure client upload (such as statements, tax records and payroll information).

How we use your information

Your information is used to respond to your inquiry, deliver your scorecard result and read-out, and provide the accounting, tax, payroll and advisory services you request. If you take the scorecard, we may also send you occasional emails about keeping business records tax-ready; every such email includes an unsubscribe link, and unsubscribing stops them immediately. We do not sell, rent or trade your information to anyone.

Service providers we use

Form submissions on this site are delivered to us by Formspree, Inc. Documents you upload go to RMF's secure Dropbox storage, which encrypts files in transit and at rest. Scheduling runs on Google Workspace, and marketing emails are sent through our email service provider. Each provider processes your information only to provide its service to us.

How we protect it

Access to client information is limited to the RMF team members working on your account, each bound by confidentiality terms. This website is served over an encrypted (HTTPS) connection, and all client information is held in strict professional confidence consistent with accounting industry standards. In RMF, confidentiality and trust are a must.

Data retention and your choices

We keep client records only as long as needed to provide services and to meet legal, tax and regulatory requirements, after which they are securely deleted or archived. You may request access to, correction of, or deletion of your personal information at any time, and California residents may exercise their rights under the California Consumer Privacy Act, by emailing rmf@rmfaccountingtaxservices.org or calling 213-334-1331. We will respond promptly and we do not treat anyone differently for exercising their rights.

Use of Technology and Artificial Intelligence

RMF uses professional software and artificial intelligence tools in delivering its services. We believe you should know that plainly, so this disclosure appears here and in every engagement letter, contract and proposal we issue.

Scope

We use AI and third-party technology to assist with transaction categorization, reconciliation checks, document review, drafting and research. These tools make our work faster and help us catch more, and they operate under our direction at every step.

Human review

No deliverable reaches a client on an AI tool's authority. Every output is reviewed by a member of the RMF team before it is used or delivered, and every reconstruction or deliverable set passes an independent re-verification before it is marked final. Responsibility for our work rests with RMF, not with a tool.

Confidentiality of your data

Client information processed with these tools remains subject to our confidentiality obligations. We use business-grade services configured so that your data is not used to train outside systems, and we do not place client information into tools that cannot meet that standard.

Limitations

AI tools can make mistakes, which is precisely why human review and independent re-verification are built into our process. We do not rely on any automated output we have not checked.

Your consent and your right to opt out

Our engagement letters ask for your consent to this use of technology. You may opt out in writing at any time; we will then perform your engagement without AI-assisted tools, and we will tell you if that changes the timeline or fee before we proceed.

This page is provided for transparency and is not legal advice. RMF may update it periodically; material changes will be reflected in the date at the top.
